Initiating Email Workflow Action (Send Email)

The Email Workflow Action allows you to send outgoing emails to contacts automatically when specific events trigger the workflow. This is particularly useful for automating follow-ups after form or survey submissions, or for reducing manual tasks by automating emails based on predefined events.

To start, click the "+" icon to add a new action to your workflow and choose "Send Email."

Naming the Action


It's essential to rename your workflow action to maintain clarity and ensure effective team collaboration. Use a name that clearly describes the purpose or function of the action.

Sender Information


In the "From Name" field, input the name you wish to display as the sender. Alternatively, you can use the tag icon to insert custom values.

Similarly, in the "From Email" field, enter the sender's email address. Custom values can also be used by clicking the tag icon.

Note: If these fields are left empty, the email will be sent using the default values.

Enter the email subject in the "Subject" field. Custom values can also be used by clicking the tag icon.

Selecting a Template


Choose an email template from the dropdown menu or search for one by name using the search bar.

You can edit the selected template directly from the workflow action by hovering over the template preview and clicking "Edit."

In the email template editor, you can modify the content or add elements by dragging and dropping them into place. Save your changes to update the current template or use "Save as New Template" to create a new one without altering the original.

Crafting the Message


If you're not using a template, type your email message directly into the message box. You have access to various text editing tools to format your email, including options for typography, alignment, bullet points, and adding images.

Custom values can be inserted to personalize your email with user or contact information. Additionally, you can include trigger links by selecting from the dropdowns within the message box.

To include files or images as attachments, click the "Add Attachment" button and select the desired file.

Testing Emails


To preview your email, enter an email address in the "Test Emails" field and click "Send Test Email." Once you're satisfied with the test, you can proceed to send it to your contacts.

Monitoring Email Performance


After your workflow is active and emails have been sent, you can track performance through the Email Delivery Statistics. This section provides detailed metrics on the emails sent, including delivery, open rates, clicks, replies, bounces, and more. It also highlights the number of complaints or reports made by recipients.

Click "View All Statistics" to see more detailed information, including the number of emails accepted, stored, rejected, and those that prompted complaints.

  • Delivered: Shows the total and detailed count of emails successfully delivered to contacts.

  • Opened: Displays how many recipients opened the email.

  • Clicked: Indicates the number of recipients who clicked on links within the email.

  • Replied: Lists the number of responses received from the email.

  • Bounced: Tracks emails that could not be delivered.

  • Accepted: Shows how many emails were accepted by the server.

  • Stored: Indicates the number of emails stored.

  • Rejected: Provides the count of emails that were rejected.

  • Complained: Reveals how many recipients reported or complained about the email.
