Understanding a Workflow
A workflow is essentially a sequence of automated actions triggered by a specific event. For instance, when a potential customer expresses interest in your product, you might need to follow up with more information or send a text message. Automation allows these tasks to be carried out automatically when the event occurs, streamlining your business operations, saving time, and enhancing overall efficiency.
Creating a Folder
To organize your workflows, you can create a folder by clicking the "Create Folder" button. Simply name your folder, then click the blue "Create" button to add it to your workflow list.
Filtering Workflows: Recent or List View
You can filter your workflows either by recent updates or by a list format. The "Recent" filter shows workflows starting from the most recent update, while the "List" filter arranges them alphabetically with folders displayed first.
Filtering by Status
Workflows can also be filtered based on their status—whether they are drafts or published campaigns. This feature allows you to easily manage which workflows are still in progress and which are currently active in your CRM.
Folder Management Options
Rename Folder: Allows you to change the name of an existing folder by selecting the option from the three-dot menu.
Move to Folder: Enables you to transfer a folder to another existing one quickly.
Delete Folder: Removes the selected folder from your workflow list.
Manage Permissions: Lets you set which users have access to the workflows within a folder.
Workflow Overview
The main Workflow section provides a detailed view of all your workflows, both those you’ve created and those from your team. Here, you can manage, edit, or create new workflows.
Name: Displays the names of all workflows for easy identification.
Status: Indicates whether a workflow is in "Draft" or "Published" status.
Total Enrolled: Shows the total number of participants in each workflow.
Active Enrolled: Displays the number of participants currently active in a workflow.
Last Updated: Indicates the most recent update date of the workflow.
Created On: Shows the date the workflow was originally created.
Workflow Actions
The three-dot menu in the Workflow section provides various options:
Edit Workflow: Modify your existing workflows.
Rename Workflow: Change the name of a workflow.
Open in New Tab: Open the workflow in a new browser tab.
Draft/Publish Workflow: Toggle between Draft and Published modes.
Move to Folder: Transfer the workflow to a different folder.
Duplicate Workflow: Create a copy of the workflow.
Delete Workflow: Permanently remove the workflow.
